What Is a Quote and Why Is It Important?

A quote (or quotation) is a formal document that states the fixed price you'll charge for a specific job or project. Unlike estimates, quotes are usually binding once accepted. Our free quote templates help tradespeople, contractors and service businesses create professional quotes that win more work.

Quote Template FAQ

Is a quote legally binding?

A quote becomes legally binding once the customer accepts it, forming a contract. You must honour the quoted price unless you've included specific exclusions or time-limited validity. Always include an expiry date on your quotes.

What is the difference between a quote and an estimate?

A quote is a fixed price for a defined scope of work, while an estimate is an approximate cost that may change. Quotes are generally binding once accepted; estimates are not. Use quotes when you can define the work precisely.

How long should a quote be valid for?

Most business quotes are valid for 14 to 30 days. For construction or large projects, 30 days is standard. Always state the validity period clearly to protect yourself from material price changes.

Should I include VAT on my quotes?

If you're VAT registered, you should clearly show prices both excluding and including VAT. If you're not VAT registered, state that VAT is not applicable. This prevents confusion and disputes.
